Despite our recent establishment, my background as a teacher instilled in me the importance of three key principles: preparation, professionalism, and presentation. These principles have allowed us to excel in our first 10 loan signings, and I am confident that we can provide you with the best possible service.
Meticulous Preparation
Let’s start with our meticulous preparation. Every signing package is organized in a detailed binder. The lender documents are placed in the front pocket, while the signer documents are in the back pocket. We use pocket protectors for our script, as well as for the Spanish and Portuguese disclosures if needed. Each signature line in the copy that is to be executed is marked with different colors for different signers, making the process seamless.
Our notarial certificates are pre-filled with the location and date, and our journal is pre-filled, requiring only ID confirmation and principal signatures. These visual cues not only assist during the signing but also ensure that we are thoroughly prepared right from the start.
Structured Presentation
Our reliance on a well-structured script ensures consistency, clarity, and compliance. This script can be shared with you before or after the signing so you know exactly what to expect. By following this script, we ensure that every step of the process is covered, leaving no room for confusion.
The process starts from the time I knock on the door:
“Hi, John and Jo. My name is Cameron. I’m your notary. Where would you like us to set up today? Excellent. Before we enter, please review my driver’s license to confirm I am who I say I am. I will also need to review yours.”
Once at the table, for every document requiring a signature, we have a specific script. For example, in an HUD partial claim document package, we had a subordinate deed of trust. The script reads:
“Second, we’ll look at your deed of trust. This document shows you as the owner of record on the property and also informs you that your lender has a security interest in the property. It will be recorded in the public records for the County.”
Conclusion and Technology Integration
At the conclusion of the signing, I always say:
“Thank you again and congratulations on your loan. This set of documents is for you to keep.”
